A SELLER'S GUIDE

FROM LISTED TO SOLD

A chapter-by-chapter guide to selling in Chester County.

WELCOME

WELCOME TO THE JOURNEY

Congratulations on taking this step. Selling involves more than a sign in the yard. It requires a disciplined plan, clear communication and a hyper-local strategy.

My 31 years as an educator in Chester County shape the way I view real estate. My job is not just to list a home, but to guide, educate and empower you.

Whether we are pricing a colonial in Malvern or negotiating in West Chester, I am here so you never feel lost.

Think of this guide as a syllabus for the sale. It walks through the fifteen steps from our first conversation to the day the keys change hands. Nothing needs memorising.

I am dedicated to a superior experience, backed by the strength of Long & Foster.

Colleen Johnson, REALTOR®

HOW TO USE THIS GUIDE

THE FIFTEEN STEPS

This guide is the syllabus for the sale. The fifteen steps are the chapters, and we work through them one at a time in order. Each carries a short summary box to skim on a busy day. Nothing needs memorising.

THE FIFTEEN STEPS

FROM CONSULTATION TO HANDOVER

A clear sequence for the decisions, conversations and details that carry a home from listed to sold.

01

Consultation

Every sale begins with a conversation, not a contract. Our first meeting walks through the home room by room while I listen to your timeline, plans and reasons for the move. I ask about updates, features you love and anything that has caused trouble, because all of it shapes the strategy later.

We also cover how I work: the fifteen-step selling process, how often you will hear from me, what to expect at each stage, and your market questions. I walk you through the paperwork before anything is signed.

We finish with a written listing agreement spelling out responsibilities, the communication plan and compensation.

STEP SUMMARY

  • Walk the home together
  • Discuss your goals, timing & questions
  • Review the plan, agreement & compensation

02

Listing Strategy

Before a number, there is a plan. Every home is unlike any other listing. The neighborhood, schools, commute, condition and pace of buyer activity shape how we position it. I study what similar homes nearby have done and what buyers are responding to, then we decide what to fix, what to leave, what to highlight and how to handle timing.

In Malvern that might mean leaning into the walkable borough shops. In Downingtown, it might mean the commute and the school district. This is also where we set communication expectations so you know when and how you will hear from me.

STEP SUMMARY

  • Study recent sales & buyer activity in your area
  • Choose the strategy for your timing & goals
  • Prepare a room-by-room to-do list

03

Pricing

As a Pricing Strategy Advisor (PSA), I build the price on evidence, not a hunch. A Comparative Market Analysis studies recently sold homes, active competition and current buyer activity in the immediate area, then adjusts each comparable for size, condition, lot and updates.

You see the data as I see it, in a written analysis that we can review line by line. We arrive at a recommended price range with the reasoning explained.

The final number is always your call. My job is to make it an informed one.

STEP SUMMARY

  • Comparative Market Analysis built from recent sales
  • A price range, with the reasoning behind it
  • Your decision, made with data

04

Photography and Videography

Most buyers meet the home online first, and the first impression is made by photographs. I arrange a professional photo shoot, plus video and tour media where it serves the listing.

I give you a simple preparation checklist: clear the counters, open the blinds, turn on the lights, and tidy each room. I walk the home beforehand and point out the small adjustments that matter on camera.

On shoot day, plan to be out of the house. Empty rooms photograph brighter. The shoot usually takes a few hours, and we review the results before going live.

STEP SUMMARY

  • Professional photos of your home
  • Tour and video assets for online listings
  • A short preparation checklist before the shoot

05

Pre-Marketing

Before going live, we lay the groundwork. A sign goes in the yard and a lockbox is placed for showing access. Listing details are checked carefully: square footage, features, taxes and every fact a buyer will read are verified so there is nothing to correct later.

We prepare the marketing that introduces the home: the listing description written to attract the right buyer, property information for the MLS, and the materials buyers see in their first days of searching.

STEP SUMMARY

  • Signage & lockbox in place
  • Listing details verified for accuracy
  • Marketing assets prepared before going live

06

Going Live

On going live, the home is entered into the local MLS where it is distributed to major real estate search sites and reaches agents and buyers searching the area. A new-listing alert goes to buyers searching for homes like it and to the agents working with them.

The home also appears on my website and is shared with my agent network so cooperating agents know it is available. From that day I monitor inquiries, showing requests and the questions agents ask, and report that early activity to you.

STEP SUMMARY

  • Your listing appears on the MLS & major search sites
  • Buyer alerts and agent outreach begin
  • Showings are scheduled through the showing service

07

Showings

You are signed up with a showing service that notifies you whenever a showing is scheduled. A lockbox allows agents secure access. You keep the home ready and step out while buyers visit.

After each showing I follow up with the agent for feedback, and pass comments along with context since patterns often point to something adjustable.

Be Flexible

Be as flexible and accommodating to the buyers schedule as possible. We want to avoid having missed opportunities if at all possible.

How to prep: Keep Everyone Informed

Make sure everyone in the home is informed when showings are to happen so they can keep their spaces clean.

Daily Cleaning

Keep up with daily messes. Wipe down kitchen and bathroom counters before leaving for the day.

Mind the Odors

Avoid strong-smelling foods. Keep your meal prep as neutral and simple as possible.

Furry Friends

Keep pet areas clean. Clean up after your pets immediately and wash their bedding regularly. Hide pet food or litter. Not everyone is a pet person and it may hinder a potential buyer’s ability to picture themselves living in your home.

Natural Light

Open blinds and curtains and let in as much natural light as possible. Leave lights on before you leave for a showing.

Take Out the Trash

Empty trash cans to avoid any odors. Try to empty trash cans nightly so that the home is fresh when you leave for the day.

Comfortable Temperature

Keep the room temperature comfortable. This demonstrates to buyers that the HVAC is working properly.

Put Personals Away

Make sure you place all valuables and prescriptions out of sight and in a safe place.

Vacate the Home

Having a seller present can make buyers feel awkward. We want to make the buyers feel at home and stay awhile.

STEP SUMMARY

  • Keep the home show-ready each day
  • Expect to be away for showings
  • I will request feedback from every agent

08

Offer

When an offer arrives, the job is to make sure you understand every word, not just the number on the first page. Price is one of many considerations, so we sit down and walk through each term line by line.

Loan Type

A conventional loan is often the least complicated. This is an appealing choice for sellers. An FHA loan can cause delays because it requires certain repairs and approvals.

Contingencies

The fewer contingencies on an offer the better. Shorter time periods are also valuable.

All-Cash Buyer

A cash offer is usually more appealing than a finance offer because the seller does not need to worry about the bank approving the loan.

Pre-Approval

Pre-approval assures home sellers that the buyer can get the loan they need.

Closing Costs

Sometimes an offer comes in high, but the buyer asks you to pay a percentage of the buyer’s closing costs.

Closing Timeline

You might need to close quickly to move on to the next adventure, or you might need to extend the closing to allow time for the next home to be ready. Choosing the offer with the closing time that fits your needs will be most attractive to you.

Repair Requests

If the home needs some repairs, but you do not have the time or money to do them, a buyer who is willing to do them for you might be what you need.

Offer Price

Of course, price matters too. If a high offer will cost you more in closing costs, repairs or other factors, it probably will not be the better offer.

STEP SUMMARY

  • Price is only one consideration
  • We review every term of every offer together
  • You decide, with the full picture in front of you

09

Negotiating

After an offer is submitted, we can accept the offer, decline the offer if it is not close enough to expectation and there is no need to negotiate further, or make a counter-offer by offering different terms to the buyer.

After a counter-offer, the buyer can accept the counter-offer, decline it, or counter the offer. Negotiation can go back and forth as many times as needed until agreement or someone walks away.

Once You Are Under Contract

You sign the purchase agreement and are officially under contract. This period is the contingency period, during which inspections, appraisals and anything else in the purchase agreement take place.

STEP SUMMARY

  • We can accept, decline, or counter
  • The buyer can respond in kind
  • Negotiate until agreement, or walk away

10

Inspections

Once under contract, the buyer hires a professional inspector. The buyer chooses and pays for the inspection. The inspection period typically runs 7 to 10 days from the signing of the contract, and the period for a given contract is the one set out in the agreement, with negotiations typically following soon after the report arrives.

What the Inspector Reviews

  • Roof & Components
  • Exterior & Siding
  • Basement
  • Foundation
  • Crawlspace
  • Structure
  • Heating & Cooling
  • Plumbing
  • Electrical
  • Attic & Insulation
  • Doors
  • Windows & Lighting
  • Appliances (limited)
  • Attached Garages
  • Garage Doors
  • Grading & Drainage
  • All Stairs

Possible Outcomes

Inspections and potential repairs are usually one of the top reasons a sale does not close. Common findings involve the foundation, electrical, plumbing, pests, structure, mold or radon.

If the inspection leads to repair requests, the options are to renegotiate the sale price with the buyer, renegotiate with the buyer to cover the difference, consider an alternative all-cash offer, or cancel and re-list. The buyer can accept the home as-is, offer to renegotiate, or cancel the contract.

STEP SUMMARY

  • The buyer chooses & pays for the inspector
  • The inspection period typically runs 7 to 10 days
  • We respond together to the findings

11

Appraisal

If the buyer is seeking a loan, their lender requires an appraisal to verify the home is worth the loan amount. As the seller we want it to appraise at least at the sale amount.

Contesting an appraisal is very difficult, so the smartest work happens before the appraiser arrives. Before the appointment I prepare a package for the appraiser: recent comparable sales that support the price, documentation of updates and improvements, and the features that set the home apart. I walk you through what to expect on appraisal day.

Appraisal Comes In At or Above Sale Price

You are in the clear, and closing can begin.

Appraisal Comes In Below Sale Price

We talk through your options together and agree on the path forward.

STEP SUMMARY

  • The lender orders the appraisal
  • Value is verified against the sale price
  • We prepare the evidence together

12

Title and Utilities

A title search confirms that you truly own the property and that all existing liens, loans or judgments are disclosed and resolved before settlement. If anything surfaces, it is addressed well before the closing date.

Settlement in Pennsylvania is handled by a title agent or settlement officer. I coordinate with that professional so you know exactly what is needed and when.

Keep the Utilities On

Please keep utilities on and billed in your own name through settlement, and through the day after. Contact each utility to take the billing out of your name after settlement rather than ending service. A working final walkthrough needs a working house, so lights, water and HVAC need to be on for the buyer to test them.

STEP SUMMARY

  • The title search confirms clean, transferable ownership
  • Settlement is scheduled with a title agent or settlement officer
  • Utilities stay on and in your name through settlement

13

Final Walkthrough

Before closing the buyer does a final walkthrough, usually within 24 hours of settlement. Its purpose is to confirm the home is in the condition the contract requires and that any agreed repair work has been completed.

In the days before, the agreed repairs should be finished with receipts available, the home clean and the systems working. Keep utilities on since the buyer will run the water, test appliances and check heating or cooling.

The final walkthrough is attended by the buyer and their agent. The seller does not attend. I attend final walkthroughs with my buyer clients, so when your buyer does theirs, their agent will be there with them. Your job is to have agreed repairs finished with receipts available, the home clean, and utilities on.

STEP SUMMARY

  • Held within 24 hours of closing
  • The buyer verifies the home’s condition
  • Agreed repairs should be complete and documented

14

Closing

Closing is when funds and documents are transferred to transfer ownership to the buyer. In Pennsylvania a title agent or settlement officer reviews the contract, determines what payments are owed by whom, prepares the documents, performs the settlement, confirms all payoffs are completed, sees the buyer’s title is recorded, and makes sure you receive the proceeds due.

The itemizing document is the ALTA Settlement Statement, which we review together before signing. Keep copies of all closing documents and home improvement receipts for taxes.

Funds

  • Seller’s mortgage company and any lien holders
  • Local government, if any property taxes are due
  • Third-party service providers
  • Brokerage commission, as agreed in your listing agreement
  • You, for any proceeds from the sale of the home

Documents & Property

  • The deed to the house
  • The ALTA Settlement Statement and other settlement documents
  • Receipts for completed repairs, per the sales contract
  • Recording of the signed deed at the county courthouse
  • A post-closing occupancy agreement, if one was arranged
  • Exchange of keys, garage door openers, security codes and devices, appliance manuals, and similar items
  • Title insurance policy for the buyer
  • Home warranty, optional

Your Costs

  • Mortgage balance and any penalties, if applicable
  • Any claims against your property
  • Unpaid assessments on your property
  • Brokerage commission, as agreed in your listing agreement

What to Bring

  • A government-issued photo ID
  • House keys
  • Garage door openers
  • Mailbox and any other spare keys

STEP SUMMARY

  • Funds and documents transfer at settlement
  • The deed is recorded to transfer ownership
  • Bring your photo ID and the keys

15

Last Steps

The sale is complete and the handover is yours. Follow the final-days checklist in the order that keeps you covered.

Before Settlement

Keep the Utilities On Through Settlement

Please keep utilities on and billed in your own name through settlement, and through the day after. Contact each utility to take the billing out of your name after settlement rather than ending service.

Insurance: Wait Until Settlement Is Complete

Once title transfer has occurred, contact your insurance agent to cancel your policy so you can receive a refund of any prepaid premiums.

Lock Up

Ensure all blinds are closed, and lock the windows and doors.

Turn Everything Off

Turn off valves to the sinks, toilets, appliances and water heater. Turn off all light switches and fans. Lastly, call the electric company.

Change Your Address

Let everyone know your new address. Submit a change-of-address form to the post office.

Secure Your Documents

Secure all closing documents as well as the contract and closing documents. Keep them in a safe place.

Leave the Home in Order

Gather Home Paperwork

Put together a packet of manuals, receipts and any warranties as well.

Clean

Ensure that your home is completely clean upon leaving the home. Clean the cabinets, refrigerators and other appliances inside and out. Thoroughly clean out the garage. Schedule trash pickup prior to the day of closing. Leave your home the way you would like to find it if you were the buyer.

Clear Out Personals

Move out your personal belongings completely. Check all drawers, cabinets and closets.

Leave the Keys

Leave all house keys, remotes, gate keys, pool keys and mailbox keys in a drawer in the kitchen.

Floors

Vacuum and sweep floors one more time.

STEP SUMMARY

  • Coverage and utilities stay on through settlement
  • Leave the home clean, empty, and documented
  • Hand over the keys with everything in order

BEHIND THE SCENES

ROBUST MARKETING

Here is a closer look at the work that happens once a home is live. Every listing is different, so I recommend the mix that fits the home and the area, and explain why.

Networking

A large percentage of real estate transactions happen with co-operating agents in the country. I will expose your listing to this market.

Signage

A sign will be placed in your yard as well as pointers and open house signs before an open house. These will be placed at the most opportune times to gain the most exposure.

Superior Online Exposure

Buyers in today’s market first start their search online. We will meet your potential buyer where they are...online! Your home will be featured in the local MLS, on major third party real estate sites, on our company website and social media, and syndicated to other listing sites.

Email Marketing

An email will be sent to our current buyer database of buyers searching for properties on my website. A new listing email alert will go out to my agent network of agents in the area.

Property Flyers

Highly informative and creative property flyers will be displayed inside your home. These help potential buyers remember the key items and unique features of your home.

Lock Box

Lockboxes are essential for the safety of all. They allow an agent to show your house whenever he or she needs to, rather than relying on you the owner for a key. Owners are also expected to vacate the property for showings. Having a lockbox makes this process much easier for all involved.

Showings Service

When we list your home, you will also be signed up with a showing service that immediately communicates with you when a showing is scheduled. When feedback is not left, I will follow up with those agents requesting their feedback within 24 hours.

Open Houses

After reviewing many surveys, we have discovered the perfect formula for what day is best to list a home and the perfect day for an open house.

Social Media Marketing

We practice regular social media marketing on today’s top social sites which include and are not limited to: Facebook, Instagram, LinkedIn, and YouTube.

WHAT TO EXPECT

FROM INITIAL CONTACT TO CLOSING AND BEYOND

I am backed by a family of companies working together seamlessly on financing, insurance, settlement, property management and more. My goal is to see sellers succeed and deliver an experience that exceeds expectations, acting as your single point of contact throughout the selling process.
